Unions & member organisations

When a member joins or leaves: keep information current.

A practical routine for current group documents, different end dates and questions about continuation. The member's own overview stays separate from membership administration.

Go to the steps

THE SHORT ANSWER

A welcome letter does not always establish when each policy starts. A membership exit notice does not always establish when each policy ends. Members need a short explanation of what changes, which document applies and who can confirm the next step.

This routine covers an organisation's information when someone joins, changes membership category or leaves. It does not replace reporting to the insurer or checking an individual's policy conditions. [1][2][3]

Keep these points in mind

  • Separate membership dates from policy start and end dates.
  • Show what is included, what was chosen and what still needs confirmation.
  • My Forsio does not replace membership records or policy administration.

STEP BY STEP

How to review the documents

  1. Start with the right membership category

Record the change: a new member, a student starting work, retirement or leaving. Match it to the organisation's current group agreement. That agreement describes who can qualify; a general benefits list is not a personal insurance statement.

Joining rules can differ between categories and returning members. Bliwa's current joining conditions for new Unionen members provide one concrete example. They set specific conditions for joining and category changes. Do not apply that example as a rule for other organisations.

    [1][2]
  2. Provide a small, dated document pack

Collect the group agreement or relevant group statement, applicable full terms and the route to a personal insurance statement. Identify the version, coverage period and responsible contact. Distinguish an included benefit, a voluntary choice and an offer.

Name the document the member may need to request. An insurance offer does not establish that the person joined. If a personal statement is missing, show the open question instead of assigning the same status to every member.

  3. Confirm the end date and continuation rules

When someone leaves, ask the insurer to confirm when each policy ends and which conditions, deadlines and contact routes apply to extended or continuation cover. Entitlement has conditions. Do not use one countdown for every product.

Bliwa's information for Unionen members shows why the dates matter separately: policy termination can follow membership deregistration. That is the handling for that agreement, not a universal deadline. Record the confirmed end date and where the next question belongs.

    [3][1]
  4. Give income insurance its own check

Keep union membership, unemployment insurance fund membership and income policy qualification conditions on separate lines. Unionen describes separate memberships and requirements that a new membership card alone cannot establish. Use the relevant union's current terms.

When changing unions, previous insurance periods may need supporting evidence under the new policy's rules. Identify the period and certificate requested in the particular case. Leave missing information marked Unverified until evidence is available.

    [4][5]
  5. Let the member update their own picture

In My Forsio, members can bring together group documents and private policies they have added. A new statement can give a more current picture than an older document. Members keep their own overview; the organisation does not automatically gain access.

Changing information or adding documents in Forsio does not change membership, premiums or contracts with other organisations. Forsio does not automatically verify organisation or unemployment insurance fund membership. Membership administration and any authorised individual review are separate workflows.

Give the next document a clear owner

Make the handover concrete: what changed, which statement applies now and who answers the remaining question? Date the check. Keep older statements clearly labelled as history where needed, without presenting them as current cover.

If the organisation offers My Forsio as a member benefit, a walkthrough can show the member's own overview and its limits. It does not create an organisation dashboard, automatic membership-condition checks or group insurance administration.

Fictional example

Membership ended. Policy end still to confirm.

A member leaves an organisation and gathers current statements.

Membership
Exit date in the statement
Group policy end
Unverified
Continuation cover
Terms and contact requested

The overview shows the information available. The insurer confirms the policy end date and conditions for any continuation.

Common questions

Do all membership policies end on the same date?

That cannot be assumed. Check each agreement and personal statement. The end of membership and policy termination need to remain distinguishable. [3]

Does a membership card establish every income policy condition?

No. Unemployment insurance fund membership and qualification conditions, among other requirements, need checking against the current agreement. Union membership does not confirm separate fund membership. [4]

Can the organisation see the member's private policies in Forsio?

Not through membership or by offering an individual overview. Individual sharing and authorised access are separate matters. [6]

FOR ORGANISATIONS

Make the information easier to follow.

We show how members can collect their documents in their own overview and what stays separate from your membership administration.
